Millennium Corporation is seeking a Administrative Asisstant to support a contract in Fort Belvoir, VA. Candidate must have an active Secret Clearance.
Responsible for administrative support services to PM TS leadership to ensure day-to-day office automation and daily administrative functions.
Serves as Administrate Assistant Lead to the PM & DPM for all off site locations.
Ensures PM&DPM calendars are synchronized to ensure leadership are aware of events and meetings.
Ensures the purpose of the meeting, attendees, and Teleconference/ DCO/DDS information are present within the body of the meeting invite.
Ask for clarification from the PM or DPM if there is a conflict with calendar events.
Dials into conference lines for the PM/DPM as the host for all PM &DPM meetings 10 mins prior to the start of the meeting
Conducts a roll call to ensure all attendees are present (Subject to meeting location).
Updates briefings, documents for meetings as you receive them and inform leadership of any changes.
Ensures meetings, presentation, briefings are printed in the format designated by the PM or DPM at least 24hrs prior to the meeting.
Ensures PM& DPM stay on schedule with a reminder.
Ensures a printed daily calendar is delivered to the PM in the format specified.
Coordinates PM/DPM travel arrangements in DTS to include closeout of vouchers.
Ensures travel arrangements (Mode of travel, Flight, rental car, hotel, briefing slides, etc.) are confirmed by face-to-face meeting before generating final travel arrangements.
Informs leadership when travel vouchers are ready for signatures.
Builds travel packages (orders, maps, and agenda) for PM/DPM.
Prepares and delivers PM/DPM travel packets 24hrs prior to travel and delivered to leadership for a face-to-face review.
Serves as special events coordinator for the PM-TS during special events.
Ensures all personnel are informed who will be attending and that all awards are present.
Reviews technical accuracy of all documents for compliance with AR 25-50.
Prioritizes documents requiring PM/DPM action and informs the leadership when a document needs to be moved up in priority.
Prepares and updates office administrative policies and procedures as needed and informs the PM/DPM when changes occur.
Maintains a hard-copy and digital record of policies and procedures so that they can be easily accessed.
Manages badge renewal process for PM-TS FBV offices.
Manage IN/OUT Processing of personnel at Fort Belvoir.
Ensures all incoming and outgoing personnel see the PM/DPM.
Briefs PM/DPM on all staff changes.
Updates PM-TS Task Org with PM-TS OPS Lead.
Set-up a weekly or monthly meeting with the PM/DPM to review staff changes as they occur.
Receives, screens, and answers telephonic and personnel needing to speak or meet with the PM/DPM.
Announces telephone calls and personnel prior to them speaking or meeting with the PM/DPM.
Ensures missed telephone calls or messages (Who, Purpose, and how they can be reached) are promptly delivered to the PM/DPM if they are unavailable.
Ensures phone calls are covered when you are not present to receive them.
Manages visitors to Ft. Belvoir buildings: Keep a log of all visitors and the purpose of their visit to PM-TS. All visitors must be announced to the leadership prior to their arrival and when they have arrived.
Manages classified materials, confidentially, and sensitive information in accordance with PM-TS Standard Operating Procedure (SOP).
Serves as ATAAPS timekeeper for GOVT Employees at Ft. Belvoir.
Informs the PM/DPM when all timesheets are ready for approval in ATAAPS.
Manages GOVT Vehicle with assistance from PMs.
Ensures leadership has a government vehicle for all local travel when requested.
Assigned as the Mail POC for PM-TS Fort Belvoir.
Ensures all mail is delivered to the appropriate section or person.
Ensures burn bags are properly marked and disposed of in accordance with the PM-TS & NVESD policy.
Updates and maintains emergency SOP and Personnel Phone list for PM-TS and review with DPM on a monthly basis.
Briefs calendar and upcoming travel/events.
Ensures all PM-TS primary staff/O5s PM/DPMs events are accurately reflected on the O6 (PM/DPM) calendar.
Processes PM/DPM Joint Personnel Adjudication System (JPAS) request.
Bachelor’s and 12 years of relevant experience – may substitute education and experience.
Ability to operate effectively in a high-tempo environment
